1. Information We Collect

UET GPT collects minimal information necessary to provide conversational answers and preserve session preferences. When you interact with our service, we process the questions you submit, associated search sessions, and standard anonymous telemetry (browser type, approximate region) to ensure reliable operation.

2. How We Use Your Information

Your queries are processed through retrieval models and language models to construct accurate answers about UET Taxila. We do not sell, rent, or monetize your personal information or conversations.

3. Accounts and Saved Chats

You can use UET GPT as a guest without an account. If you sign in, Clerk handles sign-in and gives us your name, email address and profile picture, which we keep in your UET GPT profile along with your preferences.

When you are signed in, your chats (your questions, the answers and their sources) are saved in our database so you can come back to them. They stay until you delete them or your account. A chat you delete disappears from your list at once and is permanently erased once it is more than six months old.

4. Shared Answer Cache

To answer common questions quickly, UET GPT stores answers that cite official sources and reuses them for anyone who asks a similar question. Each stored entry holds the question (as UET GPT reworded it to stand on its own), the answer, its sources and the model that wrote it. It does not record who asked. Entries expire after 12 hours to 5 days, depending on how often the source information changes. Because an answer can be shown to other people, please do not include personal details, such as your name, phone number or CNIC, in your questions.

5. Feedback and Surveys

When you choose to send it, we store:

  • Answer ratings: your thumbs up or down, any reason or comment, and short excerpts of the question and answer you rated.
  • Feedback form: your message, its category and rating, and your email address if you enter one.
  • Welcome survey: how you heard about UET GPT and the appearance settings you picked.

Ratings, and feedback-form messages unless you untick the context box, also record the page you were on, your theme, your screen-size group (mobile, tablet or desktop) and whether your device is mobile. Every submission is linked to your account or guest ID. We use this to fix problems and improve answers, and keep it until it is no longer needed or you ask us to delete it.

6. Cookies & Local Storage

We use local storage, session storage, and essential cookies strictly for core functionality:

  • Essential Quota Cookie (uetgpt_guest): An HTTP-only cookie containing an anonymous random UUID (version 4) used exclusively to enforce daily free question limits (5 questions per calendar day). It contains no personal data or tracking identifiers and expires after one year.
  • Sign-in Cookies (Clerk): If you sign in, Clerk sets essential cookies that keep you signed in.
  • Abuse Prevention Counters: To protect public service availability, we enforce per-network and overall limits using a keyed, one-way cryptographic hash of your network address (for IPv6, of its /64 network). Raw IP addresses are never retained or stored in our database, and these counters automatically expire within 24 hours.
  • Conversation Carry-Over (Session Storage): For visitors using guest chat, recent messages are held temporarily in browser session storage so they can be seamlessly transferred to a permanent saved thread upon signing in. This storage is cleared immediately upon sign-in or browser tab closure.
  • Preferences & Consent: Local storage is used for UI preferences (theme, font size, visual effects and sound settings), pinned highlights, and cookie consent status.

7. Service Providers

We use these services to run UET GPT. Each receives only the data it needs for its job:

  • Clerk: sign-in and account management.
  • Convex: our database for profiles, saved chats, the shared answer cache and the UET Taxila search index.
  • Turso: our database for feedback, ratings and survey answers.
  • Vercel: hosting, and Vercel Analytics for anonymous page-visit statistics.
  • Upstash: usage-limit counters and cached search results.
  • Groq and Google (Gemini): AI models that read your question, earlier messages in that chat and the matching UET Taxila passages, and write the answer. Google also turns questions into embeddings for search.
  • Cohere: ranks the search passages that best match your question.
  • Sentry: if error monitoring is switched on, technical error reports are sent to Sentry.

8. Your Choices

  • You can use UET GPT as a guest, without an account.
  • You can delete any saved chat from your chat list.
  • Deleting your account permanently erases your saved chats and clears your name, email address and picture from your UET GPT profile. If a Delete account option is shown under Manage account in the account menu in Settings, you can do this yourself; otherwise, ask us through the Contact page.
  • Feedback, ratings and survey answers are kept separately and are not removed when you delete your account. To have them deleted, ask us through the Contact page.

9. UETGPT in ChatGPT and Claude

When you use UETGPT in ChatGPT or Claude, the assistant sends UETGPT only what a tool needs: the marks you enter for the merit calculator, a fee category, a program name, or a search question. OpenAI's terms and privacy policy cover what you type into ChatGPT; Anthropic's cover what you type into Claude.

  • Merit, fee and program lookups run in memory and are not stored.
  • Search questions go to UETGPT's search backend (Convex) and to the AI providers it uses to understand the question and find matching passages: Groq and Google (Gemini) to interpret and embed the question, and Cohere to rank passages. UETGPT does not save search questions in its database, but they can appear in its server logs. The search result is cached in Upstash for 24 hours under a one-way hash of the question.
  • To prevent abuse, when ChatGPT attaches an anonymous identifier to a request, a one-way hash of it is counted for about two hours. Claude sends no such identifier, so all Claude requests share one anonymous limit.
  • UETGPT asks for no account, sign-in, name, email or other personal details.
